Census Information Sheet
For members, regular attendees and others who consider KCBC their church home
Â
Â
Why are we doing this?
KCBC is carrying out a church-wide census to understand our church family better, keep records accurate, help people remain known and connected, and review the formal Membership Roll.
Â
Who should take part?
We are inviting adult regular attendees of KCBC who would like to remain connected or be more connected within the church and adults who are formal members to take part in the KCBC Census to help us appropriately know the church family, keep the church records accurate, and make sure everyone is well connected and supported.
Â
Kindly note that completing the census will not in itself make you a formal member or remove your formal membership. Based on the information you provide and preferences you specify, we will take further steps (e.g. contacting you with details on how to become a formal member, if you specify interest in this) and also reconcile with the formal KCBC Membership Register.
Â
Parents/guardians may also provide limited information about children under 18 for whom they have responsibility.
Â
What is being captured – and why
Â
Information | Main purpose |
Name, DOB, address and contact details | Accurate identification, records and appropriate contact. |
Connection and membership information | Understand church connection and reconcile membership records where needed. |
Household/children information | Link households and support age/life-stage planning. |
Participation, serving and practical needs | Help people connect, serve and access church life. |
Communication and media preferences | Respect how people wish to be contacted or represented. |
Â
The census survey below will capture your name and date of birth (and those of children in your care), your contact details, your KCBC membership and activities/volunteering interest information, and your KCBC communication and media preferences.
Â
Please do NOT include confidential, sensitive, medical or safeguarding details in this survey. If you would like to discuss such details, kindly contact the Church Secretary directly in person or by email amos@kcbc.org.uk.
Â
What happens to your response?
Your name and date of birth (and those of the children in your care) and your contact details will be stored securely in the church records. They would be accessed only by appropriate church leaders, which are the Church Secretary, the Data Protection Lead, the Membership Care Team Leader. The exception to this is where you give permission for your birthday to be acknowledged by the church.
Â
The other details you provide, e.g. activities/volunteering interest information and communication/media preferences, will further be shared (including your name) with the relevant teams so as to appropriately follow up on the information.
Â
- Online responses go into a restricted KCBC Workspace area; paper forms enter the same restricted reconciliation process.
- KCBC may compare relevant answers with existing church or historic membership records. A census answer does not by itself prove or change membership.
- Verified information updates the appropriate KCBC records. Selected verified operational information may later be updated in the Church register; raw census responses are not stored there.
- Full raw access is restricted to the Church Secretary/DPO and one authorised contingency Trustee. Other team members only receive the minimum information needed for their task.
- Raw responses, working reconciliation files and paper forms will normally be securely deleted/destroyed within six months after reconciliation is formally closed, unless a specific record must be retained as evidence of a formal action.
Â
Â
Important · Completing – or not completing – the census does not itself add or remove anyone from church membership. Formal membership matters follow the KCBC Constitution and, where required, the Church Members’ Meeting process. · Please do not use the census for detailed medical, safeguarding, pastoral, allegation, financial or other highly sensitive information. Ask for private contact instead. Safeguarding concerns should go through KCBC’s safeguarding process. |
Â
Your choices, rights and contact
Core census processing is not based on blanket consent. Optional communications/media choices are separate. You can ask KCBC to correct inaccurate information and exercise applicable data-protection rights.
